Contractor records and Form 1099-NEC
Good records make the tax conversation easier.
Keep a secure record of contractor details, signed W-9s, invoices, payment dates, amounts, and payment methods. Your tax professional determines classification and reporting requirements.
Use the correct payment year
The IRS information-return overview identifies a $2,000 reporting threshold for relevant service payments made in 2026, compared with $600 for 2025. Exceptions, backup withholding, payment-processor reporting, and state requirements can change what must be reported. Do not apply one dollar threshold to every payment or future year.
Check the IRS information-return overview for the payment year and have your CPA confirm forms and due dates.
A useful handoff
- Separate employees from proposed contractors for professional review.
- Reconcile annual totals to the accounting records.
- Identify missing W-9s and payment-method questions.
- Send sensitive identifiers through the CPA’s approved secure channel.
