New-hire records for seasonal crews
Use current forms and a reviewed checklist.
Seasonal hiring still needs a consistent process. Build the checklist with your payroll provider, employment counsel, and applicable state requirements before the first start date.
Organize the approved packet
- Offer/pay details and the employer’s approved hiring documents.
- Current Form I-9 process and responsible reviewer.
- Federal/state withholding forms and new-hire reporting responsibilities.
- Approved training, policy acknowledgments, and any job-specific qualification records.
USCIS I-9 Central provides current forms and employer instructions. Document review, timing, retention, reverification, and any permitted remote procedure must follow those instructions; an AI draft cannot determine employment eligibility.
Before assigning work to a minor, check the Department of Labor’s youth employment restrictions and state rules. Equipment, driving, age, industry, and hours can all matter.
Where I can help
I can distribute approved templates, track completion, organize restricted-access records, and flag missing items. The employer and its qualified advisers retain hiring, eligibility, pay-classification, and legal decisions. Do not send identity documents or employee details in a first inquiry email.
